Stop chasing client documents and retyping intake forms.
INSTEP builds small AI tools that collect what you need from clients, fill in your files and draft routine replies, inside the software you already use. Your staff approves every message, and nothing confidential is needed for a first conversation.
- Based in Medford, NJ
- Works with your portal and practice software
- Fixed $500 assessment, credited toward a pilot
- Your staff approves every message
Hi Karen, attached are my W-2 and the 1098 for the house. Still waiting on the 1099 from my brokerage. Also, we had our second child in March. Do you need anything for that?
| Client | Mike Delgado |
| Received | W-2, Form 1098 |
| Life change | New dependent (March) |
| Return | 2025 individual |
Less chasing, less re-typing, faster replies.
Built for small firms where a few people handle every client request. We start with your process, not a software pitch.
Missing-document reminders
Each client gets a clear list of what’s still outstanding and polite reminders until it arrives in your portal. Your staff sees one up-to-date checklist instead of an inbox to search.
Online intake that fills your files
New-client questionnaires, engagement details and conflict-check information are captured once and dropped into your templates and practice software, not re-typed.
Routine requests drafted for you
Certificate requests, status questions and policy changes are read, matched to the right client and drafted as a reply your team reviews and sends.
Built for accounting and tax practices, law firms and independent insurance agencies in South and Central Jersey.
Paste a client email. See the record and the reply it creates.
This is the intake step of what we build, running live. Paste a real message or pick a sample. Nothing you paste is stored.
Incoming message
Powered by Claude. The message is sent to Anthropic’s API to generate the result and is not kept by this site. Please don’t paste passwords, account numbers, or anything you wouldn’t email a vendor.
- The message turned into clean fields your software can file.
- What’s missing, as the questions we’d send back.
- A drafted reply, waiting for a person to approve.
- The next step for your team.
A clear first step and a known price.
No long proposals and no surprise invoices. You know what you’re getting at every step, and you can stop after any of them.
20-minute call
Tell Matt how your office runs and where work gets stuck. You leave with a straight answer on whether there’s a useful next step, and what it would be.
Opportunity Assessment
Two working sessions with you and your team, then a written plan you keep: how the work moves today, the opportunities ranked, and a fixed quote for a pilot. Credited in full toward the pilot.
See a sample assessmentPilot
One workflow, built and tested with your team and measured against where you started. Software and AI usage are billed at cost. Expand only if the results support it.
Founding clients: the first three pilots get reduced pricing in exchange for measuring results with us and a short case study you approve.
A local, hands-on builder.
Matt’s background is in B2B sales, quoting and operational handoffs, and he builds AI workflows hands-on. You work with him directly, from the first call through launch and training.
Do you need access to confidential files?
Not to start. The first call and the assessment work from your process and made-up examples, not client records. Any build is set up in your accounts, with access you control and can revoke.
Do we need new software?
Usually not. We build around the tools you already use and confirm what they allow, including access and subscription level, before promising anything.
What does it cost?
The call is free. The Opportunity Assessment is a fixed $500 and is credited in full toward a pilot. Each pilot gets a fixed quote before any build starts, and software or AI usage is billed at cost.
Will clients get messages without our review?
No. Every client-facing message is drafted for your staff to approve. You decide which routine steps, if any, can ever go out on their own.
Tell Matt where work gets stuck.
Twenty minutes by phone or video. No preparation needed: bring one process you’d like to improve.
- Ideas specific to your practice software and client mix
- One or two fixes you can make yourself, even if we never work together
- Nothing confidential needed
