A real conversation, not a form Ideas specific to your tools and team A written Opportunity Brief, free

The advisor gives a starting hypothesis, not a technical audit. Matt reviews every brief personally, and we validate the process, system access, costs, and expected value together.

Every business is different. These illustrative workflows show how a focused integration could help—after the process and requirements are understood.

ILLUSTRATIVE WORKFLOW · SERVICE BUSINESS

From a full inbox
to a clear next step.

Requests arrive by email and web form. Your team chases missing details, copies information into a tracker, and tries to remember who needs a follow-up.

What improves

A consistent handoff, fewer missing details, and a visible follow-up queue.

    Prepare the handoff

Draft a reply and create a review task.

  4. 04
    Approve & follow through

Your team approves the action. Track the next step.

Your team confirms pricing and customer commitments.

04 / SEE IT WORK

Paste a real message.
Watch it become work
your team can act on.

This is the intake step of the systems we build, running live. Drop in a customer email, an order, an invoice or a service request, or use a sample. Nothing you paste is stored.

Incoming message

Try a sample:

Powered by Claude. The message is sent to Anthropic’s API to generate the result and is not kept by this site. Please don’t paste passwords, card numbers, or anything you wouldn’t email a vendor.

What you’ll see on the right:
  1. The message turned into clean fields a system can file.
  2. What’s missing, as the questions we’d send back.
  3. A drafted reply, waiting for a person to approve.
  4. The next step for your team.
This is the same pattern behind quote intake, order entry, document capture and service dispatching, with your rules instead of generic ones.
05 / INDUSTRY PLAYBOOKS

Where automation
usually pays off first.

Short, practical guides for the kinds of businesses we work with most: the three automations that tend to earn their keep, what they connect to, and where people stay in control.

06 / THE ENGAGEMENT

A clear path.
One useful step at a time.

Start with a conversation. Agree on discovery, choose a focused priority, then build and prove it before expanding.

01

Listen & map

Discuss your goals. Walk through real tasks with the people doing them. Map the systems, handoffs, and current effort.

YOU GET A shared picture of the operation
02

Prioritize & scope

Compare opportunities by value, feasibility, and effort. Check access and data. Agree on a starting point and price.

YOU GET A roadmap & defined project scope
03

Build & test

Create a focused pilot. Test real scenarios, exceptions, and approval rules with your team before moving to live work.

YOU GET A tested workflow & acceptance criteria
04

Launch & improve

Train the team, document the workflow, and measure against the starting baseline. Agree on support and what comes next.

YOU GET Handover, support & measured progress

Know the scope before committing. Discovery, implementation, and ongoing support are agreed separately. Software, AI usage, and vendor fees are identified upfront. Timing depends on the work and available system access.

07 / HOW TO START

A clear first step.
A known price.

No proposal theater. Start with a free conversation, then a fixed-price assessment that becomes credit toward your pilot. You’ll know what you’re getting at every step.

STEP 1

Discovery call

Tell Matt how your business runs and where work gets stuck. You’ll leave with a straight answer on whether there’s a useful next step, and what it would be.

  • No preparation needed
  • Bring one process you’d like to improve
  • Your AI advisor brief, if you made one, gets discussed

Opportunity Assessment

$500Credited in full toward your pilot

Two working sessions with you and the people doing the work, then a written assessment you own whether or not we build anything together.

  • Process & system map of the workflow in question
  • Ranked opportunities: value, effort, readiness
  • A pilot plan with the baseline and success measures
  • A fixed quote for the pilot
See a sample assessment
STEP 3

Pilot

Fixed quoteSet in the assessment, before any build

One workflow, built and tested with your team, measured against the baseline. Approval steps stay where you want them. Expand only when the evidence supports it.

  • Tested on real scenarios and exceptions
  • Training, documentation and handover included
  • Software and AI usage fees billed at cost
How the engagement runs
FOUNDING CLIENT PILOTS

Three pilots at a founding rate.

INSTEP is new, and the best proof is measured results. The first three businesses to run a pilot get reduced pilot pricing in exchange for two things: measuring the workflow before and after with us, and letting us publish what we learned as a short case study, approved by you, with nothing confidential in it.

3 of 3 spots open
How we handle your data and systems

Software, AI usage and vendor fees are identified upfront and billed at cost. Ongoing support is agreed separately after the pilot. If the assessment concludes that a process change or a feature you already own is the better answer, that is what the written assessment will say.

PRACTICAL BY DESIGN

Built around the
people doing the work.

Founded by Matt Doron, drawing on hands-on experience in B2B sales, quoting, operational handoffs, and AI workflow development.

The starting point is a real conversation about how your business runs. The goal is a solution your team can understand, use, and improve.

Your systems. Your ownership.

Build around the tools you use. Define access, account ownership, and a practical handover.

02

People in control.

Agree on approval rules for prices, orders, and customer commitments. Keep a clear path for exceptions.

03

Useful, measurable progress.

Establish a baseline. Measure time, quality, or response improvements. Expand when the evidence supports it.

A FEW GOOD QUESTIONS

Before we begin.

Good decisions start
with clear expectations.

Do I need to know what to automate?

No. We start by learning how your company operates and where work gets held up. The website advisor and your Opportunity Brief provide a useful starting point; discovery helps decide what is actually worth building.

Do we need to replace our software?

The goal is usually to work with your existing tools. We confirm supported APIs, connectors, subscription levels, and permissions before promising an integration. When access is limited, we explain the options and trade-offs.

Where does AI fit compared with automation?

AI can help interpret text, extract information, find knowledge, and prepare drafts. Conventional automation handles predictable steps, checks, and routing. A solution may use both—or a simpler process change if that is the better fit.

How are projects priced?

The 20-minute discovery call is free. The Opportunity Assessment is a fixed $500 and is credited in full toward a pilot. Pilots get a fixed quote in the assessment, before any build starts. Software, AI usage and vendor fees are billed at cost, and ongoing support is agreed separately. The website advisor, the live demo and your Opportunity Brief are free. See how to start.

How do we know whether it’s working?

We define the starting baseline and success criteria before the pilot. These might include handling time, completeness, follow-up rates, or response time. Results are measured with your team; estimates are not promised savings.

CLEAR BY DESIGN

Your information.

The AI advisor is powered by Anthropic’s Claude: your messages are sent to Anthropic’s API to generate replies. Conversations are not shared with Matt unless you request an Opportunity Brief, which emails the brief to you and the conversation and brief to Matt. The optional 5-question assessment stays in your browser tab until you choose to download, copy, or include it in an inquiry.

When you submit an inquiry or discovery-call request, this site stores your name, company, email, message, preferred call time if provided, and any assessment summary you chose to include. They are delivered to Matt Doron by email through a transactional email provider and used only to respond to your request.

The “See it work” demo sends the message you paste to Anthropic’s API to produce the result; this site does not keep the message or the result. This website uses Vercel Web Analytics, which counts page views without cookies or personal identifiers, and no marketing cookies. The advisor keeps your conversation in this browser tab only, so you can reload without losing it. Sites may record basic traffic and processes the information needed to run the site, protect access, and deliver submitted requests. Basic submission limits help reduce spam.

You control any downloaded or copied summary. If you choose to email a copy, your email provider handles that message. To request removal of a submitted inquiry, contact matthew@instepops.com.

Avoid adding confidential customer, employee, financial, or account information. Share detailed project information through an agreed channel during discovery.
